Presidents Column

I think we had a good discussion about membership. Now, we just need to figure out how to implement some of these ideas. I hope that each of you will help us do some research and offer to help with this important business.

Attached are the guidelines for the Service Requests. I hope that you will help us identify projects that need our assistance and encourage them to submit a proposal.

I’m looking forward to hosting the Minneapolis Club this month at our meeting. I hope that you will all be able to join us and will bring your prospects to dinner as well.

My notes are brief today as I’m trying to get ready to go on vacation. Hope you’re enjoying (?) winter, now that it’s actually here.

Service Project Requests:

Attached are the guidelines for service project requests. These need to be submitted to the Service Committee by March 15, 2003. Please contact potential service recipients and give them these guidelines to complete their request.

February Meeting

Remember that our February meeting is a joint meeting with the Minneapolis Club, our guest speaker is Karen Ruth, a pilot with Champion Airlines. This is a great opportunity to bring guests.

Dinner Reservations:

The price of our dinners is $17.50. You need to call Dorothy Swanson if you are not planning to attend by Monday morning the week of our meeting. If you do not call and we are unable to cancel your dinner, you will receive an invoice from us for your dinner.

Membership Discussion:

At our January meeting we discussed a number of ideas for getting the word out about Zonta.

These included:
  • Host a reception for upcoming women college graduates at local colleges.

  • Identify professional women’s organizations that we can distribute information to about Zonta.

  • Contact the Women’s Consortium to see if there are ways that we can access their membership to distribute information.

  • Develop a brochure that we can use to e-mail to organizations, businesses and women business owners.

  • Use the MN Women’s Press Directory to identify women to send a brochure to.

  • Advertise the MN Women’s Press Directory.

  • Find opportunities like the Women’s Expo where we could have a booth.

  • Try to get meetings listed in local suburban newpapers.

  • Invite identified prospects to an after-work reception to learn more about Zonta.

I know each of us is busy, but would you each look at this list and see if there are any pieces that you would be willing to take on. I will try to develop a brochure that we can use to market Zonta.

Rose Day

On March 8, the Minneapolis Club has asked if we would be willing to help deliver Zonta mugs with information about both clubs to local media personalities. When they join us at our February meeting, we will have an opportunity to pick up the mugs and assist with this process.

Zonta – St. Paul Funding Request: 2003-2004

Zonta St. Paul is a chapter of Zonta International, a world-wide service organization of professional and business women working together to advance the economic, legal, political, and health status of women.

Non-profits organizations that serve women and women’s issues are invited to submit a proposal for financial funding and/or in-kind support for consideration by Zonta for 2003-2004. All proposals for funding must be submitted by March 15, 2003. Zonta’s typical funding grants are in the $1,000 - $5,000 range, with no more than three grants to any one organization. Note that Zonta gives priority to funding request proposals that provide an opportunity for Zonta members’ hands-on-service activities as well as funds. Your organization will be notified regarding the status of your proposal by May, 2003.

Please answer the following in a narrative (using the format below) of no more than 5 pages:

Statement of Organization’s Needs: (worth up to 20 points in review process).

  • Describe how the project’s goals and objectives relate to Zonta’s mission.
  • Provide specific details of the implementation plan (who, what, when, how, why) with the timeline.
  • Describe in measurable terms how the grant will enhance your organization, improve the organization’s ability to sustain itself, and meet specific ongoing community needs.
  • Describe the socio-economic and racial/ethnic characteristics of staff, Board and those you serve.

In-Kind Services: (worth up to 15 points in the review process).

  • Describe the opportunities for some Zonta members to provide volunteer time, talent, and skills to helping your organization meet it’s goals and objectives.

Evaluation: (worth up to 15 points in review process).

  • Define success in terms of the project funded by Zonta?
  • Identify desired outcome and specific details on how outcomes will be measured.
  • Describe the ways the organization will help Zonta measure the value/worth of Zonta funding and in-kind services (Zonta members’ volunteer efforts) to your organization.

Collaborative partnership with Zonta: (worth up to 20 points in the review process)

  • Describe Zonta’s opportunity to meet your staff, board members, clients, etc.
  • Describe Zonta’s opportunities for community exposure through your newsletters, press releases, photos, and special events.
  • Describe the willingness of your staff, Board or clients to engage in mentoring relationships with interested Zonta members.
  • Describe your willingness to be supportive of Zonta by attending some Zonta meetings and/or helping with some events.

Budget: (worth up to 10 points).

  • Include a line-item budget showing how the Zonta grant will be spent.
  • Describe any matching funds or in-kind contributions from community resources.

Please include the following as attachments to your application (these do not count as part of the 5-page limit):

  • A copy of your organization’s federal tax-exempt certification from the Internal Revenue Service.
  • A list of Board of Directors
  • List of recent annual report, newsletter, news clippings, or evaluations of your organization.
  • Most recent, completed full year organizational financial statement, audited if available.

Reporting Requirements:

September 2, 2003 Initial Report, written summary of activities and plans for funding.

February 27, 2004 Mid-Year Report, personal presentation to Zonta membership.

September 1, 2004 Final Report, written summary of activities and funding accounting.
